A tutoring invoice needs a unique number, tutor and payer details, lesson descriptions and dates, an invoice date, charges and the total due. Copy the free template below; UK invoice rules also require VAT where applicable, as of 21 October 2026.

This is general information, not legal or tax advice; check with an adviser in your country.

What must a tutoring invoice include?

A tutoring invoice should identify who supplied the teaching, who owes the money, which lessons the charge covers and how much is due. For UK invoices, use the GOV.UK checklist linked above. Add student names when the payer is a parent or family account, so the family can connect each charge to the right learner.

Keep the payer and student fields separate. Address the invoice to the customer responsible for payment, then put the student’s name beside the lesson description.

Show lesson dates, length and whether the class was regular, a trial or a makeup. Our guide to billing parents for online classes covers the wider billing process.

What changes for UK sole traders, limited companies and VAT?

UK sole traders must show their own name and any business name on invoices. If you use a business name, include an address where legal documents can be delivered. Limited companies must show their full registered name. As of 21 October 2026, these requirements come from GOV.UK’s invoice checklist; a trading logo does not replace the required name.

GOV.UK also says you must use VAT invoices when both you and your customer are VAT registered. Confirm the required format with your accountant before using the basic template for taxable supplies.

Keep business registration and invoice content as separate checks. Our guide to registering a tutoring business in the UK or US addresses the business setup question.

Do tutors charge VAT under the UK private tuition exemption?

UK private tuition can be VAT-exempt when a sole proprietor or partner personally teaches a subject regularly taught in schools or universities. HMRC’s education VAT notice says tuition delivered by other teachers you take on is standard-rated. As of 21 October 2026, the distinction concerns who supplies the teaching and the qualifying subject, so an academy should ask an accountant about its arrangement.

As of 21 October 2026, GOV.UK says registration is required when taxable turnover over the last 12 months exceeds GBP 90,000. Registration is also required if you expect taxable turnover to exceed GBP 90,000 in the next 30 days. Check both tests rather than watching completed sales alone.

The HMRC VAT guide gives the standard VAT rate as 20%, as of 21 October 2026. That rate does not establish whether your tuition is taxable. Do not add VAT because another tutor does, or describe all tutoring income as exempt.

This is general information, not legal or tax advice; check with an adviser in your country.

What is good practice for US tutoring invoices?

For US tutoring invoices, use clear supplier and payer details, lesson dates, descriptions, charges, currency and payment instructions. The US column below is a practical checklist, not a statement of federal or state law. The sources supplied for this post establish UK requirements; they do not establish US invoice rules or the sales-tax treatment of tutoring.

Write the currency beside the rate and total. Ask a local adviser whether your business needs additional tax details or disclosures.

Which invoice fields should you check?

Use the invoice fields checklist before sending a bill. The UK column follows GOV.UK’s invoice requirements as of 21 October 2026; “No” means the field is not listed separately in that basic checklist. The US column recommends useful information without making a legal claim. Example entries below are placeholders to replace, not sample customer records or prices.

Check the arithmetic against the lesson record and confirm that the total and payment instructions use the same currency.

How do you add a due date, payment options and your policy?

Give parents a specific payment deadline, clear instructions and the invoice reference to include with payment. A due date should be visible beside the total. Your policy note should explain a relevant charge using terms already agreed with the family, especially when an invoice includes a cancellation or a class the student did not attend.

Before sending, check:

  1. The due date matches the payment terms you agreed.
  2. The payment details are complete and use the invoice currency.
  3. The requested reference matches the invoice number.
  4. Any policy note explains the charge in plain words.

For bank transfers, invoice references help connect payments to bills. Use the same reference on the PDF and payment instructions.

For online delivery, Stripe’s hosted invoice page documentation says payers can download invoice and receipt PDFs through a unique secure URL, as of 21 October 2026. Keep a readable PDF available when a family needs a saved copy.

How can you save the free tutoring invoice template?

Copy the tutoring invoice template below into your document editor, replace every bracketed field and save the completed document as a PDF. The template is provided within this post, without a separate download. Keep an untouched master so the next invoice starts with empty fields rather than another family’s details, and check any tax requirements before sending.

How Halqora handles this

Halqora is management software for online academies: billing runs generate draft invoices from class records, and an admin reviews and sends each invoice with a no-login private page and PDF through Halqora’s tuition billing tools. Halqora schedules and bills one-to-one Quran and Islamic classes; siblings can share a family invoice. Halqora does not currently provide VAT or tax lines, so a VAT invoice workflow needs separate handling.
