An accounts receivable aging report groups unpaid invoices by days overdue, showing a small business which customers owe money and which balances need attention first. For an academy, use a 10-minute monthly review to check payments, fix broken payment links, and assign follow-up on overdue family balances.
What is an accounts receivable aging report?
An accounts receivable aging report answers a practical question: which unpaid invoices need action now? Use the invoice due date to measure lateness, and use the remaining balance to measure what the family owes. Keep invoices that are not yet due separate from overdue invoices. A current invoice needs visibility, but it does not need an overdue message.
Use a consistent review date. Keep the invoice number, family name, currency, due date, remaining balance, and next action together. Record the latest contact beside the balance so the owner can follow up without searching through messages.
Why do academies need aging even with prepaid billing?
Prepaid billing describes when you ask for payment; prepaid billing does not prove the payment arrived. A family can receive an invoice before classes begin and still have an unpaid balance after the due date. Aging keeps that balance visible when the next billing run starts, instead of letting a fresh invoice hide the unresolved payment.
Match received money before deciding who is late. A transfer with an unclear reference can leave a paid family’s invoice looking unpaid. Keep payment reconciliation ahead of collection messages in your workflow.
Separate missing payments from disputed charges. Explain a disputed invoice line before demanding payment, and name the person responsible for resolving the dispute.
What should you do in each aging bucket?
Aging buckets turn a list of balances into a work queue. The table below is a suggested collection routine, not a statement of Halqora’s bucket boundaries or a required suspension policy. Move from a reminder toward personal contact and an owner decision as a balance ages. Pause classes only under the payment policy you have communicated to the family.
| Age past due (days) | Possible meaning for a tuition family | Action | Responsible person | Payment-link check |
|---|---|---|---|---|
| Current: not yet due | Invoice is awaiting payment | Keep visible; use scheduled reminder | Billing admin | Check the link opens |
| 1–7 | Payment may be delayed or overlooked | Send a reminder after checking receipts | Billing admin | Test the payment route |
| 8–30 | Reminder has not resolved the balance | Contact family; consider pause per policy | Billing admin and owner | Check provider expiry dates |
| 31–60 | Payment problem or dispute needs attention | Call and record an agreed next action | Owner | Check Stripe and Wise (wise.com) expiry |
| 61–90 | Balance remains unresolved | Send a final notice under your policy | Owner | Supply a working payment route |
| 90+ | Balance needs an explicit decision | Decide further collection or possible write-off | Owner with adviser | Verify link before further contact |
Count day 90 in the 61–90 bucket; use the final bucket for balances over 90 days to avoid double counting.
How do you run a 10-minute monthly review?
A 10-minute monthly review works as a decision routine when the underlying records are ready. Run payment matching first, then review the remaining balances before sending the next invoices. The review should end with a named person and a next action for each unresolved family. A disputed charge or difficult conversation may take longer and should become a separate task.
- Refresh payments. Match received transfers and check unresolved receipts before you contact anyone.
- Review the oldest balances. Check the last message, any dispute, and any promise to pay. Do not repeat a message without reading the reply.
- Check the payment route. Open the link you plan to send and confirm the invoice shows the remaining balance.
- Assign follow-up. Name the person who will send a reminder, call the family, or make a policy decision.
- Save the review. Record the balance, action, and follow-up date so the next review starts from a clear record.
Use a consistent message when chasing unpaid tuition: identify the invoice, state the unpaid amount and currency, and offer a working way to pay. Ask whether the family has already sent payment.
Should you resend a payment link before chasing?
An old balance deserves a payment-link check before another collection message. Stripe and Wise (wise.com) describe different expiry rules, so invoice age alone does not tell you whether the link works. Test the actual payment route. If the link has expired, provide a fresh route and explain the change without suggesting the family ignored a working request.
Stripe’s timing runs from the due date, while Wise (wise.com) describes a 30-calendar-day active period for requests and single-use links. Avoid treating both as a universal expiry date measured from invoice creation.
A reminder does not replace payment matching. If a family paid by another route, record the receipt against the correct invoice before deciding what remains collectible.
Should you review aging by family or student?
Family-level aging helps you contact the person responsible for paying. Student-level detail helps you explain which tuition charges make up the balance. Use both views without adding them together: the family summary and student detail can describe the same debt. A shared family invoice should produce a clear conversation with the payer, rather than separate demands for each sibling.
Keep currency visible throughout the review. Do not add balances in different currencies as though they were interchangeable. Halqora does not convert invoices; its USD dashboard totals are approximate. Use invoice-currency balances for collection decisions and keep summary trends alongside your other online academy KPIs.
How Halqora handles this
Halqora is management software for online academies. Its financial overview shows receivables and aging, with ledgers per student and family billing account. As of 21 October 2026, its aging buckets are current, 1–30, 31–60, and 60+ days past due. The daily routine syncs payments before marking unpaid invoices overdue and sending due email reminders.
Billing runs create drafts for admin review and sending. Families open private invoice pages and PDFs without logging in. Halqora’s invoice links do not expire; replacing a link stops the old link working. Provider payment links need separate checks.
