Prepaid class billing reconciliation means invoicing the coming month’s scheduled classes, then adding last month’s actual billable amount minus its forecast to the next invoice. A negative adjustment credits the family; a positive adjustment charges the difference, so prepayment follows billable classes over time.
Why can plain prepaid packages feel unfair to parents?
Prepaid packages can feel unfair when the family expects payment for specific classes but the academy charges a fixed monthly fee. The disagreement is about what the payment buys. If you sell scheduled classes, explain how excused cancellations reduce the charge. If you sell a monthly arrangement, explain what happens during holidays before collecting payment.
A fixed monthly arrangement can suit families who value a predictable payment. According to TarteeleQuran’s terms of service, checked 21 October 2026, public holidays and Eid breaks are included in its monthly fee without refunds or credits. That is a different offer from charging for each billable class.
Avoid promising class-based fairness while applying package rules without explanation. Your choice between prepaid and postpaid tuition should match the agreement you give parents. Forecast and reconciliation fits an academy that wants advance payment while keeping the charge tied to individual class outcomes.
How does forecast and reconciliation billing work?
Forecast and reconciliation billing separates the upcoming schedule from the previous month’s correction. Build the forecast from actual scheduled dates. After the previous month’s outcomes are resolved, compare its billable amount with the amount already forecast and invoiced. Add that difference to the upcoming forecast, keeping the correction visible as a separate invoice line.
Use the same sequence each month:
- Check the coming month’s scheduled classes and applicable student rate.
- Resolve the previous month’s class outcomes, including cancellation notice and exceptions.
- Subtract the previous forecast amount from the previous actual billable amount.
- Add the resulting adjustment to the coming month’s forecast, then review the invoice before sending.
Do not subtract the previous payment instead of the previous forecast. An unpaid invoice is a collection issue; reconciliation corrects the class charge. Mixing those jobs makes a family’s outstanding balance difficult to explain.
Prepayment and earned income also need separate bookkeeping treatment. Read how prepaid tuition is accounted for before choosing your accounting treatment. This is general information, not legal or tax advice; check with an adviser in your country.
Which class outcomes count as actual billable classes?
Billable means chargeable under the outcome rules, rather than simply attended. In Halqora, completed classes, student no-shows and student cancellations with under 3 hours’ notice are billable. Student cancellations with at least 3 hours’ notice are not billed. An admin emergency exception waives the student charge, and teacher cancellations or teacher no-shows do not charge the family.
Halqora uses fixed outcome rules, including the 3-hour notice window. Exactly 3 hours counts as enough notice. The actual cancellation time matters: when the cancellation time is missing, Halqora treats the student cancellation as late and bills it.
Teachers record completed classes with a report, student no-shows or student cancellations. Admins resolve other outcomes and record the emergency exception. Resolve uncertain outcomes before treating the previous month as ready for reconciliation.
Keep family charges separate from teacher compensation. A family invoice answers whether a class is billable to the student. The family invoice should not be used to infer what the teacher earns.
What does a three-month reconciliation example look like?
The illustrative Example below uses the rate implied by TarteeleQuran’s published learning fees, checked 21 October 2026: USD 40 for 8 classes of 30 minutes means USD 40 ÷ 8 = USD 5 per class. The example applies Halqora’s outcome rules to that rate; it does not describe TarteeleQuran’s billing method.
Example: forecasts and prior-month adjustments
| Invoice month | Coming month’s forecast (classes) | Prior month’s actual billable classes (classes) | Reconciliation: prior actual minus prior forecast × USD 5 (USD) | Coming month’s forecast line (USD) | Invoice total (USD) |
|---|---|---|---|---|---|
| Month 1 | 8 | Not applicable | 0 | 40 | 40 |
| Month 2 | 8 | 7 | -5 | 40 | 35 |
| Month 3 | 9 | 8 | 0 | 45 | 45 |
In Month 1, 8 × USD 5 = USD 40 is collected before the classes. There is no previous forecast to reconcile.
In Month 2, the previous month’s actual is 7 billable classes because a student cancelled a class with at least 3 hours’ notice. The adjustment is (7 − 8) × USD 5 = −USD 5. The new invoice is USD 40 − USD 5 = USD 35.
In Month 3, the prior month’s 8 billable classes match its forecast, so the adjustment is USD 0. The longer upcoming calendar has 9 scheduled classes: 9 × USD 5 = USD 45. Month 3’s own outcomes will be reconciled afterward.
How should you handle mid-month joins, pauses and holidays?
Mid-month joins, pauses and holidays should change the schedule you forecast, with later corrections tied to recorded outcomes. A partial month’s forecast should reflect the partial month rather than a full package. Halqora prorates partial months. Do not promise a particular proration formula without checking how the student’s schedule and rate are represented on the draft invoice.
For joins, confirm the first scheduled class before collecting the forecast. For pauses, remove or resolve affected sessions before reviewing billing. For planned closures, make sure the schedule reflects the break rather than expecting a billing run to infer a holiday from a calendar label.
Make-up classes need the same care. Decide whether a make-up replaces a missed class or creates another charge, then inspect the resulting class records. Follow make-up classes without calendar chaos to keep the replacement date connected to the original issue.
As of 21 October 2026, Hidayah Network’s terms state a cap of 4 make-up classes per month and no added time for late arrivals. That illustrates a separate make-up policy, not a rule Halqora enforces.
When are credits simpler than refunds?
Credits are often simpler for continuing students because the correction appears beside the next forecast. The family can follow the original charge and the adjustment without tracing a separate repayment. That is an administrative reason to prefer an invoice credit, not a promise of protection against payment disputes or a reason to keep money when the family leaves.
According to Stripe’s dispute-prevention guidance, checked 21 October 2026, fully refunded payments cannot be disputed, but partially refunded payments can still be disputed, even for the full amount. Do not treat a partial refund as a dispute shield.
For a departing student, review the final billable amount and unused prepayment instead of assuming another invoice will absorb the difference. Halqora applies negative reconciliation lines within invoices; it has no stored credit wallet. When the credit equals or exceeds the new forecast, Halqora flags the account for attention and creates no invoice.
How do tools handle prepaid balances today?
Prepaid tools can follow different models: an advance balance that lessons consume, or a forecast invoice followed by a correction. TutorCruncher says its Credit Requests can be generated from planned lessons within a date range, with completed lessons reducing the client’s available balance. That model may suit you better when you want to manage money on account as lessons progress.
A fixed monthly arrangement such as TarteeleQuran’s may suit families who prefer a stable payment and accept the published holiday terms. Forecast billing suits a different preference: a visible charge for the scheduled calendar, corrected by outcomes. Neither agreement should be described to families as though it were the other.
When comparing tools, ask to see the invoice after an excused cancellation, a changed schedule and a final departure. Those cases show how corrections reach the family more clearly than the word “prepaid” on a feature list.
How Halqora handles this
Halqora is management software for online academies. Its monthly billing run drafts forecast and reconciliation lines for one-to-one classes, with siblings able to share a family invoice. An admin reviews and sends the drafts.
Halqora flags unresolved sessions, currency mismatches and mixed family billing modes for attention. Unpaid invoices receive automatic email reminders. Families use a private invoice page and PDF without a login.
