Reliability analytics

  1. Separate responsibility

Student no-shows do not lower teacher reliability. Teacher cancellations do not count against students.

  2. Compare periods

Read per-person rates alongside previous-period changes and patterns by week, weekday, hour and cancellation notice.

  3. Keep small samples honest

People with fewer than 3 recorded classes show Not enough data instead of a reliability score.

On this page

Tutor performance tracking in Halqora shows each teacher’s cancellation, no-show and lateness rates, alongside student cancellation, late-cancellation and no-show rates. Compare recorded outcomes over a chosen period with the previous period, judging each person only on what that person caused.

Halqora is our product. We’ve tried to keep this comparison fair: competitor details come from their public pages, linked and dated below. Tell us if anything is out of date at support@halqora.com.

What are reliability analytics?

Halqora is management software for online academies. Reliability analytics cover its one-to-one live classes. The figures describe attendance and follow-through; they do not establish teaching quality or explain why someone missed class.

As of 21 October 2026, reliability analytics are part of the Academy plan: USD 2.50 per active student per month, with a USD 99 minimum. Use the rates alongside lesson reports and a conversation with the person concerned.

How it works

  1. Record class outcomes. Teachers record completed classes with reports, student no-shows or student cancellations. Admins resolve other outcomes and record teacher late minutes, wait minutes and emergency exceptions.
  2. Choose a period. The default is the last 90 days. Recorded outcomes supply the data; open scheduled or pending classes do not count as recorded results.
  3. Read each person’s rates. Teacher and student measures stay separate. Halqora does not track student lateness.
  4. Compare with the previous period. Each rate shows its change, so you can check whether a problem is growing or easing.
  5. Check patterns by week, weekday, hour and cancellation notice. Look for repeated trouble around a particular schedule before deciding what to change.
  6. Read the reliability band. Fixed thresholds give the rates a status; fewer than 3 recorded classes produces Not enough data instead.
  7. Review responsibility and reports. Student no-shows do not hurt teacher reliability. Lesson reports are due 24 hours after class ends, and completed classes without reports block payroll generation for that teacher and period.

Teachers’ lesson reports contain a rating and written feedback for admins. Families do not see those reports. For a practical review process, read how to measure teacher reliability.

The four rates, what counts and who is judged

RateWhat countsMeasured for teacher?Measured for student?Teacher band limits (%)
Cancellation rateCancellations attributed to that personYesYes3 / 8 / 15
Late-cancellation rateStudent cancellation with less than 3 hours’ noticeNo separate rate; late teacher cancellations count as no-shows once an admin applies the statusYesNot applicable
No-show rateA recorded missed class attributed to that personYesYes0 / 2 / 5
Lateness rateCompleted class with more than 2 teacher late minutes recordedYesNo5 / 15 / 25

Teacher band limits above correspond to Excellent, Good and Needs attention. Rates above the final limit fall into At risk. A teacher cancellation under 4 hours’ notice counts as a teacher no-show when an admin applies the status; that incident counts once.

Cancellation notice uses the recorded actual cancellation time. An admin entering the outcome later does not change that timestamp. Unknown student cancellation times are treated as late. Emergency-excused student incidents are excluded from the student’s reliability measures.

Classroom join and leave events are logged, but those logs do not set outcomes or calculate lateness. There is no attendance report screen for those events yet. Keep student attendance tracking for online classes focused on accurate outcome recording.

Reading the status bands

Reliability status uses Halqora’s fixed limits, not an industry benchmark. A person receives the best band whose limits the person meets on every applicable rate. A strong cancellation rate does not cancel out a weak no-show rate.

Student bands use different limits because the measures differ:

Student rateExcellent maximum (%)Good maximum (%)Needs attention maximum (%)
Cancellation102030
Late cancellation0510
No-show0510

Read the rate, its previous-period change and the underlying outcomes together. A status can tell you where to look. The status cannot tell you whether the schedule, an emergency or repeated avoidable behavior explains the pattern.

Keep reliability among your online academy KPIs, alongside completion and report follow-through. Avoid treating attendance as a complete assessment of a teacher or student.

Why ‘not enough data’ beats a scary percentage

Reliability analytics show Not enough data when someone has fewer than 3 recorded classes in the chosen period. Halqora withholds the score because a small sample can make an isolated incident look like an established pattern.

Reaching that minimum does not make a percentage conclusive. Check how many recorded classes sit behind the rate, then compare a longer period if needed.

What it doesn’t do (yet)

The analytics use fixed outcome rules and recorded data. Admins still need to resolve incomplete outcomes and correct mistakes before relying on a trend.

Alternatives and how others handle this

As of 21 October 2026, Wise (wise.live)‘s scheduling page describes Quality Control metrics for student attendance patterns and session completion rates. Those measures may suit an academy that wants attendance monitoring within its scheduling workflow.

According to Oases’ FAQs, checked 21 October 2026, Oases offers over seventy standard reports and custom reporting. Oases may be a better choice when broad reporting requirements matter more than a defined reliability view.

According to Teachworks’ records page, checked 21 October 2026, reports can be filtered by dates, lesson status, service type, teacher, student and location. Teachworks may suit admins who prefer building their own analysis from filtered records. Report builders can help approximate reliability rates, though you still need consistent definitions.

Clasify’s public site, checked 21 October 2026, presents attendance, completion rates and teacher performance. Preply’s tutor cancellation policy, checked the same date, describes a 90-day tutor cancellation rate and possible reduced search visibility after repeated cancellations. That marketplace consequence serves a different purpose from an academy’s internal review.

Questions academy owners ask us.

How do you track tutor performance fairly?

Separate what each side caused. A student no-show should not lower a teacher's reliability, and a teacher cancellation should not count against the student. Halqora compares per-person rates with the previous period and shows Not enough data below 3 recorded classes. Review the recorded outcomes before deciding whether a pattern needs a conversation or a schedule change.

What counts as a late cancellation in Halqora?

A student cancellation with less than 3 hours' notice is late and is billed in full unless an admin marks an emergency exception. Exactly 3 hours meets the notice requirement. The recorded actual cancellation time determines notice; an unknown time is treated as late. A teacher cancellation under 4 hours counts as a teacher no-show when an admin applies that status. The family is not charged.

Can I set my own thresholds?

Halqora's reliability bands are fixed. Teacher cancellation limits are 3%, 8% and 15%; teacher no-show limits are 0%, 2% and 5%; teacher lateness limits are 5%, 15% and 25%. The limits correspond to Excellent, Good and Needs attention, with higher rates marked At risk. Read the raw rates and previous-period changes alongside the labels when applying your academy's standards.
