A tutoring cancellation policy states the notice window, late-cancellation charge, no-show rule and remedy when the teacher cancels. Use the copy-ready template below to explain how families cancel, when charges apply and how you handle emergencies before families book.
What should a tutoring cancellation policy include?
A tutoring cancellation policy should let a family work out the outcome without asking an administrator. State the deadline, accepted cancellation channel, charge and emergency process. Explain what happens when the teacher cancels, too. Separate cancelling a lesson from ending the teaching agreement, because a lesson notice window does not explain every consequence of leaving an academy.
Use the following checklist when you write your policy:
- Identify who sends the cancellation and where the academy must receive it.
- State the notice window and whether cancellation exactly at the deadline qualifies.
- Explain late-cancellation charges and how prepaid lessons are treated.
- Define a no-show and the response when a family cannot connect.
- Explain emergency review and who can waive a charge.
- State the remedy for a teacher cancellation.
- Explain how families question an outcome or end recurring lessons.
Avoid “reasonable notice” without a deadline. Name the class time zone and keep the scheduled start visible beside the cancellation record.
A makeup lesson is a replacement teaching session. A credit reduces a later bill. A refund returns money. Your makeup class policy should agree with the cancellation wording.
How do real cancellation policies compare?
Published cancellation policies use different windows and different remedies. A lesson returned to a balance is not the same as a cash refund, and makeup eligibility does not necessarily mean cancellation is free. Read the outcome beside the deadline. The comparison below reflects the supplied policy facts as of 21 October 2026; unspecified cells should not be read as permission or a prohibition.
| Provider | Type | Student notice window (hours) | Late cancellation | Student no-show | Teacher cancellation |
|---|---|---|---|---|---|
| Preply | Marketplace | 12 | Lesson not returned; tutor paid | Not specified | Tutor needs 12 hours’ notice |
| italki | Marketplace | 24 | Restricted except true emergencies | Not specified | Same 24-hour restriction, except true emergencies |
| Wyzant | Marketplace | Tutor-set; maximum 36; Instant Book 24 | Tutor policy; charge cannot exceed session cost | Not specified | Not specified |
| Tutorful | UK marketplace | More than 24 for no charge | Not specified | Full lesson fee | Not specified |
| IQRA Network | Quran academy | At least 4 | Session forfeited | Not specified | Eligible for full refund |
| TarteeleQuran | Quran academy | 6 for makeup eligibility | Not specified | Marked absent; no makeup | Not specified |
| Hidayah Network | Quran academy | 3 for makeup eligibility | Not specified | Not specified | Not specified |
| Eaalim | Quran academy | 2 | Not specified | Not specified | Not specified |
| Quran Sheikh | Quran academy | 6 for makeup eligibility | Not specified | Not specified | Not specified |

The supplied benchmark does not include individual policy URLs for TarteeleQuran, Hidayah Network or Eaalim. Confirm those policies directly before relying on the figures.
Wyzant’s tutor-set approach suits a tutor who wants to state a personal cancellation window within marketplace limits. Italki’s shared restriction suits someone who wants the same notice expectation for teachers and students. Neither approach proves that a particular window reduces cancellations.
What wording can you copy into your cancellation policy?
Use the template below as original wording to adapt, not as a claim that every clause fits your academy or country. Replace each bracketed instruction before sharing the policy. Select the charge and remedy you intend to use, and make the deadline boundary explicit. Remove any option your staff cannot reliably honor or your software cannot apply.
Cancellation policy template
Scope. This policy covers reserved tutoring lessons with [academy name]. The booking confirmation shows the student, teacher, scheduled start and class time zone.
How to cancel. Send cancellation requests through [accepted contact channel]. Include the student’s name and the affected lesson. We use the time the cancellation reaches that channel, rather than the time an administrator reads the message, to assess notice. Please keep your message if you need to question the recorded time.
Notice deadline. Cancel at least [notice window] before the scheduled start for [no charge or stated prepaid treatment]. A cancellation received exactly at that deadline counts as on time. A cancellation received after the deadline counts as late.
Late cancellation. A late cancellation results in [stated charge or prepaid lesson treatment]. A replacement lesson is [available under the stated makeup terms or not included]. We will explain the outcome if you question a charge.
Student no-show. A student no-show means [your attendance definition]. If the student does not attend, [stated charge or prepaid treatment] applies. Contact [support channel] if the student has trouble joining so we can review what happened. Technical problems are reviewed through [your review process].
Emergencies. Contact [responsible administrator] through [channel] when an emergency prevents attendance. The administrator reviews the circumstances and confirms whether the charge is waived or another arrangement is offered. Please provide enough information to explain the missed lesson without sending unnecessary personal details.
Teacher cancellation. If our teacher cannot teach the lesson, we will notify you through [channel]. The family receives [refund, replacement lesson or stated credit]. We record the event as a teacher cancellation and do not count the lesson as a student absence.
Changing or ending lessons. A request to move a lesson follows [rescheduling process]. Ending recurring lessons follows [separate termination terms]. Please ask for confirmation of the final scheduled lesson and any remaining balance.
Questions and agreement. Contact [academy contact] to question an outcome. We will review the booking, message and applicable policy. Confirm that you have read and agree to this policy through [agreement method] before lessons begin.
Check the finished wording
Read the policy as a parent reviewing an invoice. Check that the lesson, deadline, charge and review route are clear. Explain where a credit appears and who arranges any promised makeup.
How should you choose your notice window?
Choose a notice window that matches how you manage reserved teaching time and communicate with families. Start with your actual scheduling process rather than copying a marketplace’s number. Decide whether your priority is time to offer the slot elsewhere, flexibility for families, or a consistent rule across recurring lessons. Then check that the written deadline matches the outcome you will apply.
Keep the boundary simple. “At least” includes the stated deadline; “more than” excludes it. Those phrases should not be used interchangeably in a booking message, policy and invoice explanation.
Example: under Halqora’s fixed cancellation rules, cancellation exactly 3 hours before class is on time and is not billed. Cancellation under 3 hours before class is billed in full unless an administrator marks an emergency exception.
For the wider tradeoffs, use the comparison of late cancellation notice windows. Wyzant’s 36-hour ceiling is Wyzant’s marketplace rule, not a legal limit for every tutor.
What should happen when the teacher cancels?
A teacher cancellation deserves its own remedy in the policy. Tell the family who will contact them and whether the outcome is a refund, replacement lesson or credit. Do not leave families to infer the remedy from the student cancellation clause. Keep the teacher event separate from the student’s attendance record so a missed teaching session does not become a student absence.
IQRA Network says teacher-cancelled sessions are eligible for a full refund. Italki applies its 24-hour restriction to teachers as well as students, except true emergencies. Both examples make the teacher’s responsibility explicit, though their remedies differ.
Assign an administrator to resolve teacher absences. Record the cancellation time, who caused the cancellation and what the family was offered. Confirm the resolution in writing so the next invoice and the family’s understanding agree.
Student no-shows need a separate definition and record. Use your no-show policy for online classes to explain attendance expectations without mixing student absences with teacher cancellations.
How do agreement, records and UK consumer rules fit together?
Policy agreement and cancellation records help explain why a charge was applied, but they do not replace applicable consumer rights. For UK consumer service contracts made at a distance, regulation 30 of the Consumer Contracts Regulations 2013 sets a cancellation period ending 14 days after the day the contract is entered into. That contract-level period is separate from a lesson’s notice deadline.
GOV.UK’s distance-selling guidance says to tell customers how and when they can cancel and provide a standard cancellation form where applicable. These statements reflect the supplied official guidance as of 21 October 2026. This is general information, not legal or tax advice; check with an adviser in your country.
For payment disputes, Stripe’s dispute-prevention guidance, as of 21 October 2026, recommends displaying the full refund and cancellation policy at checkout and requiring agreement. Stripe warns that issuers may reject a checkbox linked to a separate policy as evidence.
Keep a practical record for each disputed lesson:
- The booking confirmation, start time and class time zone.
- The policy version the family accepted and the agreement record.
- The original cancellation message and actual receipt time.
- The recorded outcome, emergency decision and explanation sent to the family.
If an administrator enters the cancellation later, preserve the original message time. Otherwise, an on-time request can appear late. Make the same distinction when correcting a record: the correction date is not the cancellation date.
How Halqora handles this
Halqora is management software for online academies that schedules, bills and calculates teacher pay for one-to-one Quran and Islamic classes. Class scheduling with cancellation rules records when a student actually cancelled and applies fixed outcome rules such as: at least 3 hours’ notice is not billed; under 3 hours is billed in full. An admin can mark an emergency exception.
Teachers record completed lessons, student no-shows or student cancellations; admins resolve other outcomes. Families are not billed for teacher cancellations or teacher no-shows. Cancellation thresholds are fixed today. Billing runs create draft invoices for an admin to review and send.
