Teacher payroll rules tied to class outcomes: a template

Manage teacher payroll by attaching a billing decision and a pay rule to every recorded class outcome. Pay completed classes, apply stated lateness deductions, record teacher cancellations, and pay student no-shows only after the required wait; review unresolved outcomes before outcome-based teacher payroll.

Why should payroll follow class outcomes instead of timesheets?

Teacher payroll needs more than a total of teaching hours because different class outcomes can produce different pay. A completed class, a student absence, and a teacher absence should not disappear into the same hours total. Keep the scheduled class as the shared record for billing and payroll, then explain each decision from the outcome and its supporting details.

A timesheet can show availability without showing whether a lesson happened. A class record can show the scheduled duration, who cancelled, the cancellation time, and whether the teacher waited. Those details let you answer a pay question without reconstructing messages after the period closes.

As of 21 October 2026, TutorBird’s attendance-status guidance describes statuses that drive billing, including notice-given absences and billable absences. TutorBird also describes teacher-absence statuses with make-up credit or no charge. TutorBird is worth considering if those explicit billing and credit choices match your policy.

The practical lesson is to choose outcomes that explain money decisions. Avoid a single absence label that leaves the owner to decide everything again at payday.

Which class outcomes should you record?

Class outcomes should distinguish completed teaching, student cancellations, student no-shows, and teacher cancellations or no-shows. Record the reason and timing needed to apply each rule. In Halqora, teachers record completed classes with reports, student no-shows, and student cancellations; admins resolve other cases and record late minutes, wait minutes, and emergency exceptions. A classroom connection log does not make those decisions.

Keep the record readable enough that another admin can understand the decision without asking the person who entered it. Use the same terms in teacher explanations and family billing notes.

  1. Record whether the class happened and who caused any cancellation or absence.
  2. Record the actual cancellation time, rather than the time an admin read the message.
  3. Ask an admin to enter late minutes, wait minutes, or an emergency exception where relevant.
  4. Complete the lesson report and resolve missing information before payroll review.

Halqora treats an unknown student cancellation time as late for billing. A missing wait time on a student no-show requires admin review and blocks payroll generation. Missing information should remain visible as a review task rather than becoming an assumed payable class.

What should a billing and teacher-pay rules table contain?

A payroll rules table should put the family charge beside teacher pay, with responsibility for recording the outcome. The table below is an Example of Halqora’s fixed outcome rules as of 21 October 2026. The lateness row uses the corrected boundary of 3 to 5 minutes. Make-up entries describe admin decisions, not an automatic entitlement or booking workflow.

Read across the table before approving a period. A student charge does not prove teacher pay is due. Likewise, an emergency waiver on the family side does not automatically remove teacher pay.

How should you handle teacher lateness and cancellations?

Teacher lateness needs a precise boundary and a clear calculation. Halqora allows up to 2 minutes without a deduction, deducts a flat 5% for 3 to 5 minutes, and deducts a minute of pay for every minute late beyond 5 minutes. That final calculation counts from the scheduled start and cannot reduce class pay below 0.

Example, illustrative: use the supplied 60-minute class and hourly rate of 20.00 in the academy’s payroll currency. Base pay is 20.00 divided by 60 minutes, multiplied by 60 minutes: 20.00. At 3 minutes late, 20.00 multiplied by 5% gives a 1.00 deduction and 19.00 pay.

At 6 minutes late, the deduction is 20.00 divided by 60 minutes, multiplied by 6 minutes: 2.00. Pay is 18.00. The change between the flat deduction and minute-rate deduction matters; explain that boundary in your teacher lateness policy.

Teacher cancellations are separate. An admin records a cancellation under 4 hours before class as a teacher no-show. Halqora does not convert the outcome automatically, and teachers do not have an in-app cancellation-request screen. The family is not billed for teacher cancellations or teacher no-shows.

Before applying deductions, review the teacher agreement and local requirements with an adviser. This is general information, not legal or tax advice; check with an adviser in your country.

How should you handle student no-shows and late cancellations?

Student no-shows require a wait record as well as an absence outcome. Halqora bills the family in full unless an admin marks an emergency exception. Teacher pay requires a recorded wait of at least half the class duration, rounded up to a whole minute when needed. Student late cancellations are distinct outcomes; the family charge does not settle the teacher-pay question.

Example, illustrative: for the supplied 60-minute class at an hourly rate of 20.00, waiting 29 minutes produces 0.00 pay. Waiting 30 minutes produces full class pay of 20.00. For a 45-minute class, half is 22.5 minutes, so the minimum recorded wait is 23 minutes.

Explain the wait requirement before a missed lesson occurs. Your guidance on paying teachers when a student doesn’t show should say who records the wait and how a teacher disputes an incorrect entry.

As of 21 October 2026, TutorCruncher’s cancellation guidance distinguishes cancelled lessons from chargeable cancellations and describes a notice setting in hours. TutorCruncher may fit better when you need to set that window. Clasify’s teacher-management page says student-missed lessons pay teachers by default, with that behavior configurable, and says earnings use hours actually taught.

How should you handle emergencies and exceptions?

Emergency exceptions should identify which decision changes and which decisions still need review. In Halqora, an admin’s emergency exception waives the student’s charge. The exception does not replace the teacher-pay calculation: a student no-show still follows the recorded wait rule. Keep the reason alongside the resolved outcome so a waived invoice line does not become an unexplained payroll adjustment.

Replacement classes and refunds also need clear promises. As of 21 October 2026, IQRA Network’s terms say students are eligible for a full session refund when a teacher cancels. Studio Arabiya’s terms say a teacher-missed class without a substitute receives a make-up within 1 week at no fee.

Those policies belong to those academies. Do not copy the promise into your own policy unless you intend to deliver it. In Halqora, an admin can book a make-up when resolving a missed class; the table does not promise an automatic make-up.

How can teachers check earnings before payday?

Teacher earnings should show the same class-level calculations used in payroll, so teachers can raise questions while the class details are still easy to check. Halqora’s teacher earnings screen uses the same pay function as payroll, using the teacher’s current hourly rate. A completed class without its lesson report blocks payroll generation for that teacher and period.

For showing teachers their earnings, explain the path from a class outcome to its pay amount. A teacher should know whether a question concerns the recorded outcome, late minutes, wait minutes, or the hourly rate.

Review unresolved entries before generating the period’s draft teacher payment. Correct the underlying class record before that class is attached to a live invoice or teacher payment; Halqora locks those attached sessions against changes.

Halqora calculates class pay from an hourly rate without currency conversion. Halqora does not transfer teacher wages. An admin makes the payment outside Halqora and marks the payment paid manually.

How Halqora handles this

Halqora is management software for online academies. Halqora schedules, bills, and calculates teacher pay for one-to-one classes in its fixed Quran and Islamic subject list. The teacher payroll feature applies fixed outcome rules, holds unresolved entries for review, and connects earnings to recorded classes. Rules such as notice windows, late deductions, and the half-class wait requirement are fixed today, rather than configurable per academy.

Questions readers ask

How do I manage teacher payroll for an online academy?

Record an outcome for every class and attach separate billing and teacher-pay decisions to that outcome. Keep completed classes, student cancellations, student no-shows, and teacher absences distinct. Review missing reports and unresolved wait times before generating payroll. Give teachers access to running earnings so they can question a class entry before payday.

Should teachers be paid when a student cancels late?

Decide teacher pay separately from the family's cancellation charge, and put both decisions in your written policy. A billed class does not establish what the teacher earns. Halqora bills a student cancellation with under 3 hours' notice in full, but the intended teacher-pay policy for that outcome still needs owner confirmation. Do not infer pay from the invoice.

What happens when a teacher cancels at short notice?

Record who cancelled and when, then resolve the family charge and any replacement class separately. In Halqora, an admin records a teacher cancellation with under 4 hours' notice as a teacher no-show; the family is not billed and the teacher receives no class pay. As of 21 October 2026, IQRA Network promises a full session refund when its teacher cancels.
