Free tutoring management software is rare: most complete systems offer trials rather than ongoing free plans. Free tiers cover narrower jobs, such as classrooms or booking calendars, while you still need a way to connect class outcomes, invoices, and teacher pay.
What is the difference between a free plan and a free trial?
A free plan lets you keep using a defined set of features without a subscription charge. A free trial gives you temporary access before a paid decision. Neither label tells you whether the software manages your whole business. Read the ongoing plan terms, then separate teaching tools, booking tools, and payment tools from systems that connect those jobs.
Check whether you can keep teaching, create materials, and retrieve records after the trial ends. Trial access does not describe the ongoing free tier.
Keep payment processing separate from subscription pricing. A service can have no monthly charge while charging for each successful payment. Our guide to how tutoring software is priced explains why the subscription line alone is an incomplete comparison.
Which free tutoring tools are available in October 2026?
The free tools below solve different parts of the job, according to their vendors’ published pages as of 21 October 2026. A classroom allowance is not an invoicing allowance, and a booking account is not a payroll system. Compare the task you need against the free limit before comparing the first paid price.
| Tool | What the free tier covers | Main limit | First paid step (currency/month unless noted) |
|---|---|---|---|
| LearnCube Basic | Unlimited one-to-one classes; materials library | Up to 10 files | Pro from USD 19 |
| Bramble Free | Tutoring for 1–2 students | Student allowance | Pro Tutor for 3–5 students: GBP 7.50 with annual billing, or GBP 10 monthly |
| BitPaper Free | Join papers or calls created by others | Join-only access | Individual USD 15; 30-day trial |
| Setmore Free | Booking for up to 4 users | User allowance | Pro USD 5 per user, billed annually |
| Zoom Basic | Meetings with up to 100 participants | 40 minutes per meeting | Paid pricing not compared here |
| Google Meet free | One-to-one calls up to 24 hours; up to 100 participants | Meetings with 3 or more people: 60 minutes | Paid pricing not compared here |
| Stripe | No setup or monthly fee | US domestic card fees: 2.9% plus USD 0.30 per successful transaction | Transaction fees apply |
| Mercury Invoicing | Unlimited invoices on its free plan | US-registered company required | Recurring invoices require a paid plan |
| Full management systems: TutorBird, Halqora | Trial or pilot access, rather than an ongoing free management plan | TutorBird: 30-day trial; Halqora: 14-day pilot | TutorBird USD 16.95, plus USD 4.95 per additional tutor or staff member; Halqora Starter USD 39 |
Bramble’s figures come from its 2023-labelled tutor pricing page. Confirm those terms before choosing a plan.
LearnCube is a better starting point when you need an ongoing free one-to-one classroom. Google Meet is a better fit than Zoom Basic when your one-to-one lesson needs more than 40 minutes and no more than 24 hours. Those are useful advantages even if you later buy management software.
How do you assemble a free stack for video, calendars, and payments?
A free stack can work when you maintain a clear record of bookings, completed lessons, invoices, and payments. Choose each tool for its actual job, then decide where the final class record lives. The important question is who updates that record after a cancellation or payment, because separate tools do not become a connected workflow just by sharing a student name.
- Choose a classroom that fits your lesson length. Compare Zoom vs Google Meet for tutoring before organizing your timetable around a meeting limit.
- Use a booking tool for availability, then check how your recurring timetable will be maintained. Setmore’s published free allowance concerns users; it does not establish a complete tutoring workflow.
- Keep a spreadsheet for class outcomes and amounts due. Give each class a clear reference so you can trace an invoice correction back to the lesson.
- Choose a payment route and record fees separately. According to Mercury’s invoicing overview, customers can pay invoices by ACH, wire, or through Mercury for free on its free plan.
Mercury’s US-company requirement matters before you compare invoice features. Being based in Pakistan or Bangladesh does not by itself meet that requirement. Check eligibility before building your payment process around Mercury.
Judge software for independent tutors against the work you repeat. A free stack is reasonable while you can maintain accurate records.
What work remains around outcomes, invoices, and payroll?
Free tools can cover individual tasks, but you still need a process that connects the tasks. Treat the table as a list of published allowances, not proof that every tool includes or excludes a particular management feature. Ask a vendor to show how a completed lesson becomes an invoice line and how that same lesson affects teacher pay.
A booking says a class was planned. An outcome says what happened. A payment record says whether the family settled the amount due. Keep those records distinct.
For each class, your process should answer:
- Did the class happen, or was a cancellation or no-show recorded?
- Who reviewed an unclear outcome and approved the billing treatment?
- Which invoice contains the class, and has that invoice been paid?
- What teacher pay follows from the recorded outcome?
A spreadsheet can hold those answers, but you maintain the links yourself. Ask vendors to demonstrate a correction through invoice and payroll review.
When does paying for tutoring software make sense?
Paying makes sense when connected records solve a recurring problem you can name. That might be tracing invoice corrections, reviewing unpaid balances, or checking teacher pay against class outcomes. Student growth alone does not prove that a subscription is worthwhile. Compare the actual work your free stack requires with the work the paid system demonstrably removes.
Note repeated copying, missed updates, and unclear balances. When going from solo tutor to academy, use that record to review who owns each task.
Halqora is not free: as of 21 October 2026, Halqora pricing starts with a 14-day pilot, then Starter at USD 39/month for up to 25 active students. Academy costs USD 2.50 per active student per month, with a USD 99 minimum; Scale is custom for 300+ students. Annual billing gives 2 months free; onboarding and data import are free.
Halqora is management software for online academies, currently supporting one-to-one classes across a fixed list of 5 Quran and Islamic subjects. Billing runs create draft invoices for admin review and sending. Payroll waits for completed-class reports. Choose software whose current scope fits your teaching and administration.
